Description
This section describes the circumstances under which students may apply for readmission, describes meeting with a student who is seeking readmission, and describes academic contract review procedures.

Policy Statement
Academic suspension lasts for one year, after which time the suspended student may apply for readmission. Readmission after an academic suspension is not automatic.

Students who are readmitted from suspension Fall 1999 or after will be readmitted on academic probation contract (PC hold), will be held to the term 2.0 GPA requirement, and will be placed on a contract requiring successful completion of each course and any appropriate additional terms for their first term of registration, after which they will be reviewed.

Procedures
After a suspended student has been away from the University of Minnesota for one year (two consecutive semesters), he or she may make an appointment with an academic adviser to discuss the prospects of readmissions. Readmission of a student is determined by the adviser, and is typically based upon the actions the student took since the suspension and his or her future goals at the University of Minnesota.

Readmission Appointment
Readmission is at the discretion of the professional academic adviser; therefore, the following is only a guideline for a readmissions appointment

Preparation:

  • Retrieve file
  • Check file flap and PeopleSoft for P3 hold and to make sure the student has been out of the University of Minnesota for one year
  • Print and review transcript—look for term GPA, cum. GPA, and note grades in past semester, and look for possible brackets
  • Print degree audit
  • Review previous folder notes

Overview of appt.: Review student’s transcript, review terms of readmissions, discussion of past events (what led to suspension, what has changed since suspension, level of preparation for a return to the University), discussions of the pending return to the university, and academic contract (if student is readmitted).

Discuss Past and Future Performance

  1. Discuss what led to suspension. Too much work? Major choice? Personal circumstances? Study habits? Class choices? Review probation Academic Appraisal Form (if available in the file).
  2. Discuss what has happened since the student has been away from the University of Minnesota? Worked? Took classes at another institution? Change of personal habits?
  3. Discuss level of preparation for a return to the University of Minnesota. Study habits? Class attendance? Major selection (discuss declaring a major — look for MDR hold)?

Discuss what degree requirements apply to readmitted students

Suspension will function as an approved Leave of Absence. If the suspended student is readmitted within two years of suspension, they will remain under current requirements.

Terms of Contract (if adviser decides that the student will be readmitted)

  1. If adviser grants readmission, he or she must help the student plan for the next semester as well as decide upon the specific academic contract terms for readmissions. Discuss Majors? How many credits will the student take? Which courses? Study skills or major/career planning courses (LASk courses, ID courses)?
  2. Complete academic contract with student.
  3. Review the terms of the contract:
    1. “You must complete each of the courses with a grade of C- or higher, or S, and earn a term GPA at or above a 2.0 during the contract semester.” (Reminder: straight C- grades will be a 1.67 term GPA.)
    2. “If you earn grades of D, F, N, or Incomplete, or earn a term GPA below 2.0 for the semester, you will be suspended and dismissed from the University.”
    3. “You may not withdraw from any of your courses after the second week of the semester unless you obtain approval in advance from a Scholastic Committee Representative in you College Office.”
  4. The student signs and dates the contact. One copy in the folder and one copy to the student.
  5. Remind the student that he or she will have to meet with you again and/or provide grades before being able to register for the term after the contract semester(s). A probation contract (PC) hold will be placed on his or her record.

Wrap up:

  1. Change suspension (P3) hold to probation contract (PC) hold.
  2. Send student to Student Information Office in 49 Johnston to complete an application for readmission. Since the student has been out for a year or more, his or her first registration can be in person at the Office of Registrar in 200 Fraser Hall, by fax, or by mail, but not on the web.
  3. Write file notes:
    1. Summarize discussion
    2. Note explanation of terms of contract
    3. Note any specific information given about recommended courses or types of registrations.
  4. Route “Scholastic Clearance and Tracking Form” and file to Student Information Office in 49 Johnston.

Set PC hold student in order to allow the student to register for the next term:

  • Go to Service Indicator panel in PeopleSoft.
  • Scroll down Service Indicators until you find P3 (suspension) Service Indicator.
  • Delete the P3 service indicator and add a new PC service indicator. You may do this manually or by using the pull-down menu.
  • Click the green “Save” button (upper left box under “File.”) The button will then turn gray.

Contract Review Procedures
Once the semester grades are posted, the CLA Student Information Office (SIO) generates academic reports for students who, because of GPA or previous academic status, warrant probation review, contract review, suspension or second suspension/dismissal review.

All communities review the academic reports to determine students’ status. Students’ files are marked on the inside flap with the appropriate code:

  • off probation (OP)
  • placed on probation (POP)
  • continued on probation (COP)
  • continued on contract (COP-II)
  • suspended (SSP)
  • second suspension (2nd SSP) (Formerly Dismissal—DMSL)

After the review of a student’s file, the community marks it with the action to be taken, and either removes changes or keeps the hold on the student record in PeopleSoft. The final action list is compiled and sent to the Student Information Office. Students receive a letter from Student Information Office indicating to them their new or continued status.

* All contracts include the requirement that each course in the contract term be completed with a grade of [C-] or higher, or S (successful grades), and that there be no grades of [D+] or lower, N, or Incomplete (unsuccessful grades). The contract may also include other “special” terms at the discretion of the adviser.

** In most cases, the action will be ‘suspend.’ There are some cases, depending on the nature of the “special terms” and the severity of the infraction (not meeting the special terms), where a second contract semester may be warranted.

† A student who has been readmitted to the University from academic suspension and fails to meet the terms of the academic contract will be dismissed from the University. Readmission will only be possible through reapplying to the University. A student will receive a P3 hold and starting Fall 2001 “action reason” under student program/plan in PeopleSoft will read SUS2.

Old Holds (Negative Service Indicators):
P1 = Probation Level-One (Now PB, Academic Probation)
P2 = Probation Level-Two (Now PC, Academic Contract)
B1 = Probation Level-One (Tracking flag special to CLA, used prior to Fall 1993; now PB)
OB/UB = Probation Level-Two (Holds special to CLA, used prior to Fall 1993; now PC)
NM = Academic Suspension (Hold special to CLA; now P3)

History (amendments)
Before fall 1999, students could be suspended for the following situations:

  • students who failed to earn successful grades in at least 50 percent of their credits for an academic year,
  • students who were placed on academic probation and did not meet the terms of their probation.
